This Privacy Policy explains how Whiteboard (“Whiteboard”, “we”, “us”) handles information in
connection with our website at whiteboardit.com and our internal QuickBooks Online integration,
Whiteboard Invoice Sync.

Whiteboard is a WordPress and WooCommerce development consultancy. We can be reached at

1. Scope

This policy covers two things:

It does not cover the websites we build or maintain for our clients. Those sites are operated by
our clients under their own privacy policies.

2. Information we collect from our website

We do not sell personal information, and we do not use it for advertising.

3. The QuickBooks Online integration

This section describes Whiteboard Invoice Sync in detail, because it connects to accounting data.

It is a single-company, internal tool. Whiteboard Invoice Sync is used only by
Whiteboard, and it connects only to Whiteboard’s own QuickBooks Online company. It is not
distributed, sold, or made available to other businesses, and no one outside Whiteboard has accounts
in it or access through it. Its purpose is to add our own billable work to our own invoices so we do
not have to retype each entry by hand.

What it reads. Customer records, products and services, and invoices belonging to
Whiteboard’s QuickBooks Online company.

What it writes. Line items on Whiteboard’s own invoices: a service date, a
description of work performed, a quantity of hours, and a rate.

What it never touches. It does not access bank or credit card feeds, stored
payment methods, payroll, or tax filings. It does not send invoices, take payments, move money, or
change payment status. It reads and writes nothing outside Whiteboard’s own company file.

Authorization and credentials. The connection is authorized through Intuit’s
OAuth 2.0 flow. We never see or store any QuickBooks or Intuit password. The resulting access and
refresh tokens are stored on Whiteboard’s own workstation in a file readable only by the operating
system account that runs the tool. Tokens are not transmitted to any server operated by Whiteboard or
by anyone else.

Third parties. Data retrieved from QuickBooks Online is not shared with any third
party, is not used to train anything, is not analyzed for marketing, and is not sold. It stays
between Whiteboard’s workstation and Intuit.

Disconnecting. The connection can be revoked at any time from the Intuit account
settings for the connected company, which immediately invalidates the tokens. On revocation the tool
stops working and retains no further access.

We use access controls, encrypted connections, and credential files restricted to a single
operating system account. Credentials for connected services are kept outside version control. No
system is perfectly secure, but we limit what any single credential can reach and revoke access that
is no longer needed.

7. Retention

We keep inquiries and business records for as long as needed for the purpose collected and for the
period required by tax and accounting rules. Accounting records held in QuickBooks Online are
retained under Intuit’s terms and our own record-keeping obligations.

8. Your rights

Depending on where you live, you may have the right to request access to, correction of, or
deletion of personal information we hold about you, and to object to certain processing. Write to

9. Children

Our website and our tools are intended for business use. We do not knowingly collect personal
information from children.

10. Changes to this policy

If we change this policy we will update the effective date above and post the revised version on
this page.
